The meeting was called to order at 7:35 p.m. by Jim Ceh.
Meeting Minutes:
- A Motion was made by Mark Hassinger and Seconded by Jim Ceh to accept the August Minutes as submitted.The Board unanimously approved the Motion
- A Motion was made by Jim Ceh and Seconded by Jeff Boelert to accept the September Miutes as submitted. The Board unanimously approved the Motion
Treasurer’s Report:
We are continuing to strengthen our cash reserves and allocate additional funds toward improvements/activities due to additional moneys received from pool income, community building rentals and outstanding HOA Assessments. This pool season the guest fees collected were higher than budgeted.
Land Management:
The plowing contract presented by Palmer Property Maintenance will be discussed next meeting
Community Facilities:
Jeff Boehlert reported that he is still receiving estimates for the community center parking lot and tennis courts resurfacing. Originally the goal was to have the work completed prior to the start of school at Oak Hill Elementary, but now looks like this may occur in the Spring so that weather isn't a factor.
The pool needs to be white coated. This is the smoothing and resurfacing of the bottom. This repair will help with the scratches on the bottom of the feet. This is an expected repair and will cost approximately $25,000. Due to water being left in the pool when the tarp was secured, this will happen in the Spring.
Community Events:
The Halloween party will be held on Sunday, October 31st and will be kicked off with the fire truck parade to the community center. The community center will house multiple activities for children of all ages.
Architectural Control:
Jim Ceh made a Motion and Jerry Thatcher seconded to accept the revised ACC informational letter and request form. Both items will be included in the November Highlander.
Newsletter:
The deadline for the Highlander is now the 12th of each month.
Old Business:
- A draft of the Community Directory was reviewed and recommendations were presented as to format and content. The goal is to have the directories out to the residents via U.S. Mail by the end of October. Copies will also be included with the resale packages.
- Lori Manik has won the contract to be the New Resale Packet Coordinator and will officially start on October 1, 2004. Plans are being made as to making sure homes are in ACC compliance prior to being sold.
- Lawrence Shorten, Golf Tournament coordinator, attended the meeting and provided an overview of the plans for this year's CHHA Golf Tournament scheduled for Sunday, October 10, 2004. An increase in the budgeted amount of $200 was requested. Jim Ceh made a Motion to approve the additional $200 and Mark Hassinger seconded. The Board unanimously approved the motion.
New Business:
- Jeff Boehlert will be checking into pool services throughout the area and will be requesting bids in addition to our current pool company. When having a new pool company there is always a learning curve. Problems were identified and are being resolved. Some members of the board felt that the pool company should be in place for two years in order to give them the opportunity to right any wrongs. A suggestion was made to form a Pool Advisory Committee which is made up of one community resident, one board member and one swim team member. This committee would meet now and discuss the pool, its operations and review the pool company bids for next years operators. An article will be in the incoming Highlander asking for people to step forward.
- Items to be discussed at the November board meeting include rates for next year assessments, and update on holiday party details and budget.
- The Holiday party is being coordinated by Pam White and her Girl Scout Troop again this year. A carriage ride will be returning as well as the other events. It was requested that Pam include an article regarding the holiday party in the November Highlander. Due to rising costs, there may need to be an increase in the holiday party budget. This will be discussed in more detail at the November board meeting .
- The board would like to host a Volunteer Night some time in January. This event would include individuals who have volunteered in the past and present. Invitations would be mailed out and activities are being discussed. Wendy Osborn will submit an article in the December Highlander.
- Pat Zimmerman has renewed her bookkeeping contract for another two years. Jane Huang has volunteered to help with the design and data input of the CHHA website. Jeff Parnes will continue to host the site and monitor it administratively. Lori Manik will be handling the resale packets.
Adjournment:
Jerry Thatcher made a motion to adjourn the meeting and Chris Tacinelli Seconded. The Board approved and the meeting adjourned at 9:05 p.m.
